Participating: Bob Graalman, Jane Curlin, Barbara Schowen, Beth Powers, John Richardson, Steve Wainscott, Suzanne McCray, Mary Tolar, Ann Brown. Todd Breyfogle joined the group for the Denver Conference discussion.

Membership and Budget:
John Richardson (Treasurer) reported that there were currently 158 members, with 16 memberships yet to renew. There is approximately $36,000 in the NAFA account at this time. Mary Tolar reported that there are 11 Foundation Members. Suzanne McCray reported that there are 269 people on the listserv. Suzanne will post a notice about “listserv etiquette” (ed. note: which she so graciously has done!)

Concern was expressed by some board members about the number of people recently removing themselves from the listserv. It was clarified that it was mostly selected individuals from institutions, not ALL members from institutions. The feeling is that some people have been added to the listserv originally not realizing what it was about, and that they then ask to be removed when they see that the discussions are not relevant to them. There was no cause for concern about too many people dropping off the listserv.

Newsletter Update:
Jane Curlin reported about the status of the newsletter (ed. note: the newsletter has subsequently been produced to universal accolades).

In addition, Jane received over 20 orders for the notebook and conference materials from the Portland Mini-conference—which ended up being an overwhelming project.

Nominations Committee:
Bob Graalman reported that he will be convening the nominations committee soon.

Incorporation:
Suzanne will meet with Greg Jones (an attorney) to discuss incorporation. Steve will work on the bylaws (ed. note: which he did a fantastic job on!). We will begin incorporating soon.

Denver Conference:
*Minutiae: Bob and Suzanne will be the ones to extend the invitations to the Foundations. Mary will contact Walter Jackson to discuss his/Fulbright's participation and possible workshop before the conference. (in which case we will need to work with the Adams-Mark to extend the conference rate to Wed. night as well). Suggestion was made to combine the Boren graduate and undergraduate award sessions—all agreed this was a good idea.

*Pre-registration and Notification: Discussion about early notification included a Save the Date Card, Flyers, Website postings, and Listserv announcements. (ed. note: Suzanne posted a notice on October 20th to the listserv announcing the conference.)

*Registration: Discussion about best vehicles for registration, including an online application, an email application and a paper application. There is still concern about the actual registration mechanism: who will collect the materials, where will the checks go, how to keep track of the details (databases, money, etc.). Discussion about hiring someone independent to provide conference support: collecting registration materials, handling logistical details {e.g. interfacing with the hotel as Suzie Thompson did} . Todd knows of a conference organizer whom he has worked with and whom he trusts. She is located in Baton Rouge and he will follow up with her.

We need a registration form, a means for a database, and someone to liaise with the hotel (currently Todd). Hotel and room registration will be done independently by Adams Mark.

*Speakers: The British Ambassador will not be available. Other possible speakers are being explored.
