January 15, 2004 The meeting, in the form of a conference call, was called to order at 12:30 p.m. by President Suzanne McCray. Also present were Jane Curlin, Beth Powers, John Richardson, and Bill Beesting. Mark Bauer joined us to discuss progress on the electronic bulletin board for the NAFA Web site. Next Full Board Meeting Suzanne proposed holding the next full board meeting in Chicago from March 31st-April 1st, as the proposed location and dates were especially convenient for Gordon Johnson. Beth will look into hotel possibilities. Travel Expenses for NAFA UK-Ireland Trip Planning Committee The IRS would like to know how we determine which planning committee members are reimbursed for travel expenses (for travel both before and during the actual trip). Suzanne proposed development of a chain of approval for this process. It was tentatively agreed that the trip planners will submit a formal proposal for needed travel funds. This will be reviewed by the Treasurer, forwarded to the board for commentary, and then submitted to the accountant. Electronic Bulletin Board Under Development for the NAFA Web Site Mark reviewed key aspects of the site, including how discussions are indexed and how documents are posted and stored for sharing. He also addressed potential problems, such as complications with keyword searching and security. The site will be made available to the full NAFA membership on or around April 1st. In the meantime, access will be provided to last summer's Denver conference session leaders, in the hope that they will initiate discussion topics and post documents prior to April 1st. Upcoming Summer Regional Workshops Beth gave an update on this summer's regional workshops. There will be three venues: Emory University, the University of Puget Sound, and a location to be determined in the Kansas City area. The workshop content at each venue will be similar, and costs will be kept as uniform as possible. The dates will be staggered to attract the maximum number of members. Attendance is estimated at 40-50 participants per venue; there will be a participant "cap" to ensure a "workshop feel" to the sessions. It was agreed that there should be a slightly higher registration fee for non-NAFA members. The tentative priority registration deadline is May 1st; those who register late will pay an additional $50 fee. NAFA Publications Bill invited suggestions on how best to recruit editorial board members for the planned NAFA journal. It was agreed that this would be handled by invitation and that board members would serve on fixed terms. Suzanne announced that the University of Arkansas Press is publishing the proceedings of the Denver Conference and invited contributions. Spring Newsletter Jane invited suggestions for the upcoming spring newsletter, which has a March target date. Updates on the bulletin board, the regional workshops, and the UK trip will be included. Treasurer's Report With 33 new members, NAFA membership is up to 218. The membership breakdown is as follows: 15 foundations, 42 individual memberships, and 161 institutional memberships. 14 members have not renewed for the current academic year. $80,000 stands in the NAFA general account; $6,500 of this is surplus money from the Denver conference. John also gave an update on the 2005 NAFA conference in Louisville. He has tentatively booked the Camberley Brown Hotel for July 27th-31st.
